2. Information we process
Depending on how you use the service, we may process account identity information, workspace and membership details, product records you submit, uploaded files, usage and security logs, support communications, approximate location inferred from an IP address for localized pricing, and subscription or transaction references received from Paddle. We do not need your full payment-card details; payment information is handled through Paddle’s checkout and billing services.
3. Why we process it
We process information to provide and secure the service, authenticate users, enforce workspace permissions, preserve and synchronize customer data, support customers, administer trials and subscriptions, improve reliability, comply with law, and protect PhoenusHub and its users. The applicable legal basis depends on the context and may include performance of a contract, legitimate interests, consent, and legal obligations.
4. Workspace data and access
Workspace owners and administrators control membership and access within their workspace. Customers are responsible for ensuring they have a lawful basis to place personal or confidential information in PhoenusHub. We apply server-side membership and authorization checks to separate workspaces.
5. Service providers
We may use infrastructure, identity, storage, monitoring, support, artificial-intelligence, and billing providers where needed to operate PhoenusHub. Paddle may use a visitor’s IP address to estimate location, currency, and applicable tax when localized pricing is displayed. Paddle also processes checkout and subscription information under its own notices and contractual role. Providers receive only the information needed for their service and are subject to appropriate obligations.
6. Planning character photos
The Planning character feature is optional. When you choose to upload your face photo, you confirm that it is your photo and consent to that one-time artificial-intelligence processing. The standard upload flow decodes and re-encodes the picture in your browser to remove embedded photo metadata and reduce its size. PhoenusHub validates the prepared photo in request memory and does not persist the source photo in its database, object storage, browser storage, or OpenAI Files. It sends the photo directly from request memory to the OpenAI Images service to create the character. Unless Zero Data Retention applies to our API configuration, OpenAI may retain API content for up to 30 days for abuse monitoring. PhoenusHub stores only the generated character and generation or 30-day cooldown metadata. Active teammates in your Planning workspace can see the generated character. You may choose not to use this feature and may contact us about deletion or your applicable data rights.
7. International processing
Service providers may process information in countries other than yours. Where required, we use appropriate contractual or legal safeguards for international transfers.
8. Retention
We retain account and workspace information for as long as needed to provide the service, meet legal and accounting obligations, resolve disputes, and protect the service. Trial expiry does not automatically delete a workspace. You may contact us about closure or deletion, subject to legal, security, backup, and record-retention requirements.
9. Security
We use reasonable technical and organizational safeguards, including authenticated access, server-side authorization, storage controls, and audit or backup mechanisms where appropriate. No online service can guarantee absolute security.
10. Your choices and rights
Depending on applicable law, you may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information, and to withdraw consent where processing relies on consent. Contact us to make a request. We may need to verify your identity and may retain information where the law permits or requires it.
11. Cookies and local storage
PhoenusHub may use essential cookies or comparable browser storage for authentication, security, routing, and non-authoritative interface preferences. We do not use browser storage as the authoritative source for workspace business records.
12. Changes
We may update this policy as the service or legal requirements change. The updated date above indicates the current version. Material changes will be communicated where required.
